Six Alternatives to a Webinar

Webinars are powerful tools for promoting your business and delivering educational material. They provide a combination of visuals, voice and audience interaction in a very flexible way, which makes them ideal for a number of message management situations. However, there are some situations where other delivery methods are more suitable and more effective.

Recorded Presentation

If you're not intending to engage your audience actively in your presentation, record it and publish it using Slideshare, AuthorStream or other similar tools. This means people can watch it whenever they wish (and whenever they stumble across it) and at their own pace.
Of course, even a recorded presentation should be engaging (for example, with strong visuals, good stories, an interesting voice), but you might not plan to actively engage your audience (for example, with Q&A time, live demos, and calling on volunteers). These are the presentations that might be better as recordings.

Slide Show

Some topics can be presented with a stand-alone slide show, without any audio (that is, your voice) at all. In this case, again you can use Slideshare or AuthorStream rather than conducting a webinar.
Of course, a webinar allows you to say more and actively engage your audience, but sometimes the simple slide show is better. People read much faster than you can talk, so if you don't need to talk much, your audience can get through the information much faster.

Video Conference

A webinar generally involves a presentation, where the audience sees the presenter's slides and hears the presenter's voice, but doesn't see each other, and sometimes doesn't even see the presenter. However, there might be times when you do want the audience members to see each other, in which case a video conference will be more effective.
A simple rule of thumb is to use video-conferencing for "meetings" and webinars for "presentations".

Teleseminar

Going to the other extreme, sometimes you don't need to see anything at all, in which case a teleseminar is more appropriate than a webinar. The participants call in and listen, but don't see any slides or other visuals.
Of course, you can use webinar technology for this as well, by simply not showing any slides! However, some teleseminar technology provides additional features specifically for teleseminars, such as free-call telephone numbers, phone keypad options for participants, and automatic recording and download as an MP3 file.

E-Book or Special Report

Some people prefer reading to watching (because reading is usually much faster than watching), and some topics lend themselves to reading rather than watching (for example, some topics with detailed instructions or step-by-step processes). In these cases, consider whether it's better to write out the material rather than delivering a webinar.
However, this isn't always the case with detailed instructions, and sometimes a webinar is more appropriate. For example, if you're demonstrating how to do something on a Web site, it can be easier to show it on a webinar than to describe it in writing.

Face-to-Face Presentation

Finally, for some presentations, there really is no substitute for gathering people together in a room. This is particularly the case where the group dynamic is important (for example, a humorous or entertaining presentation), audience members need to interact in small groups, or where the physical location is important (for example, a strategic retreat).

Companies Get Most From Pervasive Video Conferencing! Key Recommendations for Success

The Aberdeen Group, widely known for publishing research focussing on the video communications industry, has released a new study 'What Happens When Everyone in the Office Has Video Conferencing?'. The study compares companies where all employees have access to some form of video communications against companies who lacked some access to video across the whole organisation. Over a six month period, Aberdeen surveyed 131 companies to analyse their video conferencing usage, how they deployed video and their perspectives on the value of video communications.

Companies Get Most from Pervasive Video Strategy

The results showed that companies with a pervasive video conferencing strategy (ie. where all employees have access to video), spend an average of $890,000 during the initial investment period to support an average of 13,000 employees; through a combination of PC-based video solutions and room-based video conferencing. On the other hand, companies that provided solutions to only part of their workforce spent an average of $910,000 to support 5,600 employees.

Therefore, the companies who provided video conferencing to ALL of their workforce spent 50% less per employee ($69 v $163) than the companies who only deployed visual communications for only some of their workforce.

Companies that adopted more video throughout their organisation saw the greatest performance improvements in the key departments of sales, marketing and customer service - all crucial to boosting revenue. As employees in these departments were given access to video, it became an increasingly important tool for engaging with new and current customers, specifically within the B2B environment. Since B2B sales are typically about demonstrating products and services, visual communications became an essential tool for those companies to provide a more personal approach to client sales, whilst reducing the amount of travel and associated cost of traditional meetings.

Recommendations for Companies Before Deploying Video Conferencing

Although these results focus on the companies who are already using video, Aberdeen provides the following recommendations to ensure that companies plan for successful adoption from the very beginning of their video strategy:

• Focus on a foundation that includes technical, operational, and ease of use concerns.

• Develop a roadmap for supporting remote workers with visual solutions.

• Implement an employee feedback scheme to help aid adoption and further deployment.

• Aim to achieve interoperability between room-based solutions and pc-based conferencing.

• Allign business improvement processes with visual technology to see where video could be used to address inefficiencies in certain departments.

• Integrate video conferencing into your unified communications and social platforms.

• Go Mobile by enabling video conferencing on smartphones and tablets. In this post-PC era, where bring your own device to work (BYOD) is a growing trend, those companies who plan for the future will see the greatest results.

The results from the survey undoubtedly show that companies who deploy visual solutions throughout the whole organisation gain the most from their investment. Improving the Attendance Rate for Your Webinars

Whenever you run a free webinar, you'll find that some people won't turn up on the day. That's not surprising - they haven't made a commitment to it, so what have they got to lose? But you might be surprised at how many people don't turn up! Some webinar presenters say they get as low as 25% attendance of the people who registered.

Somebody recently asked this question on a LinkedIn group about webinars:

"I heard that 50% of the people who register for a live webinar attend, and then an additional 30% watch the recorded webinar. Does anyone know where those numbers come from?"


This is a very broad question, and a single figure isn't useful. But here's my experience...

I run 10-12 webinars a month, of which 2 (maybe 3) on average are free. The attendance percentage at the free webinars varies greatly, depending on the topic and the format (e.g. workshop vs facilitated discussion). I rarely get below 50%, even for the free webinars.
But I also know (because they tell me) that some people are registering KNOWING they won't be attending but will watch the recording - that makes the figures look worse.

On the other hand, I also know some people DON'T register, knowing they can access the recording on my blog - that makes the figures look better.

Interestingly, I think the numbers I get for paid webinars are about the same. Sometimes they ARE as low as 50%, but that doesn't mean attendees are throwing their money away. They might watch the recording (which of course is private, because it's a paid webinar), they might just want the e-book that's bundled with the webinar, they might just want the recorded PowerPoint presentation that gives them an overview, etc.

All of this just goes to show that the attendance rate by itself isn't a useful indicator of anything.

So, what does this mean?

First, expect the numbers to be lower than you'd like.

Second, consider how you can serve the people who don't turn up. For example, if it's a promotional webinar, the people who don't turn up miss out on your sales pitch. But you can still send them a follow-up e-mail later, repeating your offer and perhaps offering them a link to the recording.

Third, if you're really concerned about attendance rates, think of ways to improve this rate - for example:

Send reminder e-mails to attendees before the webinar - for example, a week before, a day before, and an hour before.Give them some preparation to do in advance.Remind them of the value they will get from the webinar.

The key is to focus on their outcomes, not yours!

Blog Talk Radio - Want to have your own radio show? This is a great way to get started.

Skype - I love Skype and use it to communicate with clients, friends, family as it allows me to connect via video conferencing, sharing screens and many other options as well. It's a great way to connect internationally as well.

Other forms of verbal communication include:

Use Your computer webcam - Most new computers have a built in webcam. If you computer is an older model, you can purchase a webcam at a very reasonable rate.

Use Your Mobile phone - Many mobile phones include video options where you can record yourself and send it directly to Youtube or your email to edit it.

Use a flip camera or any camera that has video access that you can download and record to send to your clients and customers.

Pick up the phone and call them to say hello and to check in with them to see how you can help them.

Adding the Human Touch to Your Webinars

A common question about webinars - especially one that's raised by experienced trainers and presenters - is about webinars seeming more distant and remote than a face-to-face presentation.

I saw the question phrased like this recently on a LinkedIn group:

"In a webinar environment how does this lack of human interaction impact on how well a webinar can be delivered in comparison to the tradition face to face session?"

Obviously, this person was already making the assumption that webinars had no human interaction!

I challenge that assumption.

First, just because somebody is there in person doesn't mean they are truly present. Your audience members might be paying attention, but they might also be drifting off elsewhere in their mind. And in modern presentation environments, they might be on their iPhones, laptops, netbooks or tablets, doing something else entirely.

But that's the negative side of the coin. On the positive side, some people feel more comfortable interacting from the "privacy" of their desk - much more than they would in a group. They don't have to feel any group pressure, they are more "anonymous" and they can ask questions anonymously (by typing them).

My own experience as a webinar presenter is that some webinars are just as intimate and "real" as small-group workshops, and more intimate than larger groups. You do have to be comfortable and confident with the technology; otherwise your audience will feel disconnected and distant (not to mention this hurting your credibility!) But when you can put them at ease, it can make them feel more connected than ever before.

Here are some specific things you can do to increase the level of human engagement:

Allow people to speak out loud - for example, when asking questions - rather than just typing questions into a chat room.Address people by name when answering their questions (being aware of privacy and confidentiality, of course).Start the webinar a few minutes early, and use that time to greet people as they join.Stop for questions at various points during the webinar, not just at the very end.Ask for their questions in advance, and answer them during the webinar.Tell people they can remain anonymous, if they wish, when asking questions.

So be confident that you can reach your audience.

I hope you feel more confident now about making a real human connection with your webinars. I'm not just saying this for your benefit, but also because you'll probably have to convince some clients that webinars really can work well for them.

Choosing a Webinar Provider

One of the most common questions I get asked about webinars is which platform to use. In fact, some presenters spend too much time evaluating and assessing every webinar platform trying to find the "best", when they would be far better off just choosing one that works and actually running webinars.

There are a bewildering number of tools available for conducting webinars and on-line meetings, and new services crop up every few weeks. This makes it a fiercely competitive space, which is good for us as customers. However, it also means it's difficult to choose the right provider.

Most of them offer a core set of services - such as showing PowerPoint, hosting a chat room, a question box for participants to type questions, and a recording facility. Some also offer additional services - such as multiple choice polls, automatic e-mail reminders before the webinar, seeing the presenter on webcam, audience microphones, and post-event surveys.

If you're getting started, here is my advice: Choose GoToWebinar (the service I've used for many years). It's powerful, reliable, affordable if you're doing a reasonable number of webinars, and has all the features you need for delivering high-quality webinars.

If you're evaluating webinar platforms and providers, here are some things to consider:

Webinars vs on-line meetings: Many of the services are excellent for meetings (group discussions), but don't have specific features to help you run webinars (presentations) - such as good registration pages, automatic e-mail reminders, polls and attendance reports.
Price: Of course, the price of the service is an important consideration, but it's not always easy to compare different services because a number of factors affect the price - number of attendees, number of webinars, and so on.
Advertising: Some of the free services are supported by advertising. That's the price you pay for the free service, but it doesn't look professional if your webinar participants are seeing ads during your presentation.
Limits: Check what limits the service imposes - for example, number of attendees, number of webinars each month, length of a webinar, availability of the webinar line during busy times, and so on. Of course, some limits are to be expected; just be aware of them when evaluating a provider.
Geographical features: Webinars are, by definition, for participants to access remotely, so be sure the platform supports international participants. This can be as simple as allowing participants to register in their own time zone.
Screen sharing: Can you share anything on your screen, or do you have to upload your presentation to the webinar provider (that's less flexible)?
Audience microphones: Can you allow audience members to speak during the webinar, or can you only take written feedback?
Audience engagement: In what other ways can you engage with your audience? Examples are polls, chat rooms, switching to their screen, and so on.
Social media integration: Some webinar providers make it easy for you to link your webinar to social media - for example: creating the webinar as an event on Facebook, using a Twitter back channel during the webinar, or uploading the recording to YouTube. This can be useful if you're running a lot of free promotional webinars and you're active on social media.
Recording: Is it easy to record your webinars and make them available for later playback? If the provider hosts the recordings, do they give you unlimited space?

This isn't a comprehensive list by any means, but it does cover some of the most important factors to consider.

I remember attending a presentation that my friend and colleague Alicia Curtis made to a group of professional speakers at a National Speakers Association of Australia meeting. She was speaking about younger people in your audience - particularly Generation Y - and how to engage them in your message.

One point that particularly stuck with me was her comment that young people don't come to a training session for you to tell them stuff; they want to tell you stuff. Alicia wasn't saying they are arrogant know-it-alls. No, she was making the point that you have to involve them in their own learning, so they discover things for themselves rather than having it spoon-fed to them by the person at the front of the room. If you don't involve them, you don't engage them.

So what can you do?

First, when you're designing your webinar, ask yourself whether your audience could get exactly the same value by simply watching the recording. If the answer is "Yes", beware! The whole point of doing webinars is to create an interactive experience.

How To Make A FaceTime Video Call On The iPhone 4

Now that you've got your iPhone 4 set up to make FaceTime video calls, there are three different ways to make one:

(1) From the Home screen, tap on Phone, and then tap on Contacts to find the person you want to have a FaceTime video call with. When you get to their Info screen, tap the FaceTime button. If you have more than one phone number for this person (like home, mobile, etc.), it will bring up a list of their numbers. Just tap the one you want (remember to call their iPhone 4), and it makes the FaceTime call.

(2) You can make a regular phone call using the Phone app, and once the person answers you can tap the FaceTime button to switch to a video call.

(3) If you recently had a FaceTime video call with someone, if you tap Phone from the Home screen, then tap the Recents button, you'll see their name (or number) on this screen with "FaceTime" below it, along with a video camera icon. If you tap on their name to call them, it redials as a FaceTime call.

Whichever method you choose, the person you're calling will have to accept your FaceTime call invitation. Once they tap Accept, your video call begins.

When you make a FaceTime call, the camera on the front of the phone turns on first to show you a preview of how you'll look to the person on the other end. Once they accept your call, your image shrinks down to a small thumbnail up in the top-right corner of your screen (like a TV picture-in-picture view), and their video image will fill your screen. You talk just like you're using the speakerphone feature. If you need to pause the video part of your call (but keep the speakerphone live), press the Home button (this is handy if you need to look up something in another app). To return to video, tap the green bar at the top of the screen. Webcast: A broadcast to a passive audience

A "webcast" is short for "broadcast over the Web". As the name implies, it's about sending out a message, generally to a passive audience. It's like other broadcasts, such as radio or TV, or other passive environments, like going to a cinema or the theater.

When you attend a webcast, don't expect to interact much with the presenter. Some webcasts do involve some audience interaction (generally with questions at the very end of the presentation), but that's a bonus. In fact, some webcasts aren't even live events; they are simply a playback of a pre-recorded event.

Web conference: An on-line meeting

In other words, you want the audience to get (in essence) the same message, whether they are seeing it on the screen or hearing it through their speakers.

I don't mean this literally! I'm not saying they should be able to get the entire message from either the screen or the speakers. I'm saying they should match.

For example, let's say you're presenting a one-hour webinar, and you follow the classic structure of three main points, with each point having three sub-points. That gives 9 "points" in total; and allowing time for an introduction and conclusion, each of those 9 points takes approximately 5 minutes.

You should not have just one slide for each of those points. Having the same slide on the screen for five minutes is way too long. That's a sure-fire way to lose your audience (Even if you don't lose them completely, they will quickly realise they can be doing other things while listening to your webinar - so you won't have their full attention).

Instead, consider what you're going to say about each of those 9 points, and design slides to match. You might end up with 4-5 slides, or one slide that builds up gradually over the five minutes. In rare cases, you might need 10 slides for that point (if, say, you'll be talking about a lot of examples). In even rarer cases, you might decide that just one slide is the right option for this point (if, say, you're telling a long story).

It's up to you, but remember the rule of thumb: What they see on the screen should match what you're saying.

Video Communication Tools

Based on stats, online video is one of the fastest growing media around the world. With so much of information overload, people's preference has shifted to watching video rather than reading text. Certain studies have concluded that people retain more information when watching videos as compared to reading text. The above stats definitely hold true for me because I prefer watching video over reading text messages.

I've personally used many platforms in the past several years and found them extremely helpful. Some of the things that I've used many of these platforms for are: video chatting and conferencing, sending and receiving video email, creating YouTube clips using my pictures, and creating and editing video tutorials.

The video applications that I have used, which I will share with you below, are all free to use. More importantly, they are fairly easy-to-understand and user-friendly.

iWowWe: I've used several paid and free email platforms and one of the best video email platforms that I've come across is the iWowWe video email platform. This communication platform is great for sending personalized messages to family and friends as well as for business purposes. In order to send a video email message, you choose a template (based on the occasion), record a video (via your webcam), enter the recipients email address, and send the message. It's great for sending messages for birthdays, anniversaries, and other special occasions.

Skype: is a great application for online video communication. You can use this free online communication tool to keep in touch with friends and family around the world. You can use Skype for video conferencing, teleconferencing, and instant text messaging. Given that I have family and friends in different parts of the world, I find this online communication tool very useful. One of the other very useful features of Skype is screen-sharing with which you can share your entire screen with the person you are communicating with. You will need to have a webcam to make the best of Skype.

Animoto: is an online video-making platform with which you can take your pictures and turn them into a music video. I've used Animoto since early 2010 and have created many music videos using this user-friendly platform. In order to create an Animoto video, you choose a video template, upload your pictures, arrange the pictures in the sequence you want, choose a music clip, and then Animoto automatically creates the video with vibrant transitions. You can even include short video clips within the video. It's great to create video greetings or video montages for any occasion. If you wish, you can share your videos on YouTube as well.

CamStudio: is a video application which helps you capture your computer screen in the form of a video. I find CamStudio extremely useful for creating video tutorials which I can then share on YouTube. In order to record a video, you launch CamStudio and then hit the record button. Once you do so, you screen is being recorded along with your voice. You can then save the file in AVI or flash format. This video screen capturing desktop application is similar to Camtasia.

Windows Movie Maker: is a software application which comes packaged with Windows 7 operating system. This Windows-based video application is mainly for creating and editing videos. I personally use it for editing my videos as well as to enhance the audio. Some of the features of Windows Movie Maker are merging multiple videos, trimming and splitting videos, adding transitional effects and annotations, etc.

How to Make the Most of Attending a Webinar

Attending a webinar is different from attending a face-to-face event, like a workshop or seminar. Because it's usually shorter, done from the comfort of your home or office, and there's nobody watching you, it can be tempting to treat it with less respect. But if you do this, you won't get much value from it. Instead, make the most of it by planning clearly and taking action.

Here are some techniques for making the most of every webinar you attend.

Know what you want.

Don't be a webinar junkie, who attends every webinar that's advertised, simply because it's free and convenient. Even if you don't pay any money, you're paying with your time, attention and focus. So before you register, be clear about what you want to learn from the webinar.

As a starting point, ask yourself these three questions:
"What do I want to THINK after this webinar?""What do I want to FEEL after this webinar?""What do I want to DO after this webinar?"

You probably won't answer all three for every webinar, but if you can't answer even one, then it's probably not worth attending!

Set aside the time.

It's easy to turn up late and leave early, but you won't get as much value if you do (and it also shows a lack of respect for your own development, let alone a lack of respect for the presenter). So turn up on time (a few minutes early if possible, to make sure the technology is working) and stay until the end.

Of course, if the webinar turns out to be irrelevant to you, then there's no need to stay until the end! But that should be the exception, not the rule.

Turn off distractions.

If a webinar presenter is boring or irrelevant (and unfortunately too many of them are!), it's hardly surprising that participants turn away from the webinar to check their e-mail, work on other tasks, or even leave the webinar completely. However, don't start by planning to do these things during the webinar. Start the webinar with the intention of giving it your total focus, so turn off your e-mail program, instant message programs, and any other distractions.

Take notes.

Even if you have an excellent memory, take notes of important points during the webinar, so you can use them later. In particular, note the specific things you can do after the webinar. This makes it much more likely that you'll take action, rather than just collecting lots of webinar notes!

This can be even more effective than in many face-to-face sessions, because you're sitting at your computer, so you can enter some notes directly into your calendar, action list or other documents (as long as this doesn't distract you!).

Ask questions.

If you don't understand something during the webinar, ask a question. Most webinar technology allows you to type questions, so you can do this at any time without worrying about interrupting the presenter.

If the webinar has a large audience, your question might not get answered during the webinar. So if it's an important question, ask it as soon as possible. If it still doesn't get answered, e-mail it to the presenter afterwards. Some won't respond (and that's their choice, so don't get upset), but some will. It doesn't hurt to ask!

Do something - anything!

After the webinar, choose one of the action items you noted during the webinar and do it! Even if it's only a small action, it gives you some return on your time, and gives you momentum to take the larger actions as well.
